Clear Policies, Honest Care: Why Reading What You Sign Matters

However, delivering exceptional care requires a two-way street built on trust, honesty, and mutual respect. In recent years, an unfortunate trend has taken over the service industry: people stop reading what they sign and company policies.
We see it constantly clients tapping through digital intake forms on their phones while sitting in traffic, skimming past bolded policy sections in two seconds flat, or signing off on agreements without absorbing a single word. Then, when a standard studio policy is applied, shock, frustration, and pushback follow.
It’s time we talk openly about why this happens, why reading your documents matters, and how we handle policy enforcement at Grounding Glow.
We Don’t Do "Fine Print"
A common excuse when policies are enforced is, "I didn't see that in the fine print!"
At Grounding Glow, we don't hide behind fine print. We don't hide surprise fees in tiny, faint font at the bottom of a page. Our terms, including cancellation rules, pre-care steps, health disclosure requirements, and package terms, are clearly stated, bolded, and written in plain language. They are freely accessible on our website, in our booking links, and on every intake form before you sign.
We structure our forms this way so you can make informed, conscious decisions about your care. But a policy can only protect and inform you if you actually take thirty seconds to read it.
What Happens When Forms Are Ignored?
When a client rushes through an intake form or fills it out on their phone while driving to an appointment, critical details get missed.
Consider a scenario where a client purchases a prepaid service package. The intake agreement clearly states that all sales are strictly final, non-refundable, and subject to session forfeiture for lateness, missed appointments, the weather,
or undisclosed skin/eye conditions.
Suppose that same client:
Frequently arrives late, cutting into their treatment time and affecting the schedule.
Fails to follow the required package timeline.
Discloses a medical or eye flare-up nearly two weeks after a treatment, well past the required 2-day disclosure window.
Rejects multiple good-faith accommodations such as modifying the service to focus safely on the neck, chest, and scalp while completely avoiding the eyes.
When all reasonable accommodations are turned down, and the studio enforces its clear, signed non-refundable policy, the client responds not with accountability, but with demands for cash refunds and threats to "pursue other avenues."
This isn't a breakdown in our communication. It is a breakdown in client responsibility.
We Do Not Subscribe to "The Customer Is Always Right"
There is an old retail phrase that has done massive damage to small service businesses: "The customer is always right."
At Grounding Glow, we do not subscribe to that culture.
We value every single client, but we will never validate dishonesty, boundary-pushing, or attempts to manipulate policies to get free services or unearned refunds. When someone ignores the agreement they signed, demands exceptions to rules that apply to everyone else, and resorts to passive-aggressive threats or bullying when they don't get their way, our answer is simple: we do not tolerate it.
Our policy clearly states that all sales are final, regardless of the circumstances. This policy exists to protect our time, our business, and the high standards of care we provide to every compliant, respectful client who walks through our door.
What Can We Do When Reading Comprehension Fails?
As a business, we can write the clearest contracts in the world, put key clauses in bold text, provide digital links, and offer multiple safe service modifications. But we cannot force someone to read, comprehend, or hold themselves accountable.
What we can do—and will continue to do—is enforce our boundaries with confidence:
We will continue to keep our policies clear, fair, and accessible.
We will offer reasonable, safe accommodations in good faith when unexpected issues arise.
We will hold the line on non-refundable terms when agreements are broken.
We will decline future service to anyone who exhibits disrespectful behavior, policy abuse, or intimidation.
Respect Goes Both Ways
